OICBT’s OWL Client Portal


OICBT’s OWL Client Portal is used for current and past OICBT clients, beginning after their initial call. Clients will not need to create an account; this will be created on their behalf by OICBT. If you are interested in becoming a client of OICBT, please click the “Book Now” button on our homepage to book a free initial information call.

OWL Client Portal is used to access video sessions, view appointment scheduling, and to exchange documents between you and your clinician(s). Once you are signed in, you will be able to join your video session as well as upload documents, provide payment information, access receipts and access any future appointments.

This platform is NOT to be used for emergencies, clinical conversations (therapy-related information, descriptions of well-being, etc.), or similar. In the event of an emergency, please contact the nearest Emergency Room Department.

Please note: Some clinicians at the OICBT use their own accounts within OWL. If your clinician has provided you with a separate OWL Portal link, please use that one for your sessions with them, rather than the one below.

  • Open the OICBT’s Owl Client Portal home page. The URL is: https://oab.owlpractice.ca/ottawacbt. You will not need to create an account; this will be created on your behalf by OICBT.

    Prior to your video sessions, you will need to sign into the OWL Client Portal with the username and password provided to you in your initial call. This password is also noted within the Intake Instructions attached to your appointment confirmation email. Once you have logged in for the first time, please be sure to change your password to a unique one that you will remember for future use.

    Please note: To maintain the security of your login details and account, please do not select “Remember Me” in the login window, and if prompted do not allow the web browser to save your password. Please ensure you select Sign Out before closing your browsing session or stepping away from your device. To maintain the security of your account, please also do not share your login details with anyone.

    If you are on a mobile device: Please note that some selections may not be visible to you from the main page. Please use the menu icon, indicated by three horizontal lines at the top right of the page, to navigate throughout your account.

  • To view your upcoming and/or past sessions, please select My Account at the top of the page. This will bring you to your account navigation page. From here, you will be able to view your next booked session. Below this, you will be able to view a summary of your upcoming and past sessions by selecting the appropriate tab.

  • If your session is booked as a video session, a video camera icon will show up to the right of the session details, in addition to a Join option. This will be an inactive link until the day of the session.

    On the day of the session, the Join link will become active 30 minutes before the session is scheduled to start, and will remain active until 30 minutes after the session is scheduled to end. To access the link, simply click Join during this active timeframe.

    Once you click the link, the video session will open in a new tab. Before you are able to join, you will be asked to enter a display name. After you have done this, click Begin. You will then be prompted to allow access to your microphone and camera - please do so by selecting Allow. After you have accepted the video preview by selecting Accept, you will be placed in a virtual waiting room. Your clinician will admit you to the session when it is scheduled to start.

    To leave the video call, please select the Hang Up option at the bottom of the screen. If you are on a mobile device, you can access this by opening the menu via the small arrow icon at the bottom of the screen, then selecting End Call.

  • Please note that while it may appear as though you can “Book Now” through this Portal, this feature is not currently enabled by OICBT, and you will not be able to select it. If you would like to book an additional session, please talk to your OICBT clinician during your next session, or by calling (613) 820-9931; ext. 0.

  • OWL Portal allows the option to add a credit card as a payment method under the My Account page. If you wish to change or add a payment method, you may do so here. Please note that any new cards added will not become the primary card automatically; if you would like session payments to be made using this new card, please inform your OICBT clinician or call our Administrative team at (613) 820-9931; ext. 0.

  • Click the Messaging tab at the top of the page. The first time you do this, it will bring you to a blank page; once a conversation has been started, it will appear here.

  • Click the blue +, located at the top left corner of the page. This will bring up a message form. Please add a relevant subject title and a brief message that does not contain clinical information. Then, select the therapist you intend to message. Please ensure you have selected the appropriate therapist, and that this therapist is aware that you will be sending this message. Messages sent to any other therapist will not be read or answered.

  • Existing conversations will appear to the left on the Messaging page. These conversations will be listed by clinician’s name and the subject title. If you would like to view a conversation, click on the subject title of the targeted conversation. Once clicked, the conversation will appear to the right of the page.

  • To Send a File (e.g., Word, .pdf, .png, etc.): open an existing conversation or start a new one. Once the conversation is opened, select Attach File. This will prompt a pop-up window to your computer’s files. Find the document you would like to send; once this is selected and you select “choose,” the document will be sent within this conversation. Please ensure that you are sending the correct file before selecting “choose.”
